A growing business challenge

Our client, a high-growth e-commerce business selling direct-to-consumer apparel, was facing a major bottleneck in its operations. As orders surged, the small team was overwhelmed with manual tasks that consumed valuable time and resources.

  • Order intake. New orders from their storefront triggered a series of manual steps, each one a copy and a paste.
  • Inventory and shipping. A team member had to check inventory levels in a separate spreadsheet, create a shipping label, and then update the order status in the CRM.
  • Customer communication. Order confirmations and shipping updates were drafted and sent by hand.
  • Data silos. Sales, marketing and logistics data were fragmented across disconnected platforms, so nobody could see the day as a whole.

By the fourth quarter the team was spending more of the week keeping the system fed than selling through it.

The solution: one seamless, automated workflow

After a discovery phase, we designed and implemented a custom no-code solution that connected their key platforms — the storefront, a shared database and their email platform — through a single visual automation canvas.

  1. Instant order sync. A new order automatically created a record in a centralized database.
  2. Automated inventory and shipping. That record triggered a scenario that checked stock, generated a shipping label through a third-party service, and wrote the result back.
  3. Real-time communication. Once the label existed, a confirmation carrying the tracking number went out to the customer.
  4. Consolidated reporting. Sales, stock and shipping data landed in one place, so the dashboards built themselves.

The rebuilt order flow: one record per order, with stock, shipping and the customer’s confirmation hanging off it.

Implementation

Our implementation followed a clear four-phase method.

  • Phase 1 — Discovery (1 week). We mapped the existing process, identified the bottlenecks, and chose the tools that fit them.
  • Phase 2 — Design (1 week). We architected the new workflow on a visual canvas, making sure every integration point was secure and could scale.
  • Phase 3 — Build and test (2 weeks). We built the automations and tested them hard, including the edge cases that only appear on a busy Friday.
  • Phase 4 — Optimization and training. We trained the team and left them a monitoring dashboard so they can see the system working.
